How Does Hapax Understand Which Document to Reference When Answering a Question?

When you ask Hapax a question, its method for choosing which document to reference is based on ensuring data consistency across your organization's information, rather than prioritizing specific documents. This article explains how Hapax manages and references your documents.

Some users may notice that the document displayed in the "Information Vault" section of the Current Context pane isn't always what they consider the single most authoritative or definitive source for a particular query. This is because Hapax's approach to document referencing prioritizes overall data consistency rather than elevating one specific document over others. This article clarifies how Hapax manages and selects documents when providing answers.

The Hapax Vault and Data Consistency
All your organization's proprietary data, such as policies and procedures, is stored securely in the Hapax Vault. Hapax's primary goal is to work with a consistent and accurate set of information. The specific document referenced in an answer is not critical as long as the underlying information is consistent across all relevant documents in the Vault.

Document Upload and Consistency Checks
Whenever a new document is uploaded to the Hapax Vault, it automatically undergoes a rigorous consistency check. This process involves comparing the content of the newly uploaded document against the existing documents already stored in the Vault. This ensures that any new information aligns with established data.

Managing Data Discrepancies
Hapax has a system to identify and manage any differences or conflicts found during the consistency check:

  • Highlighting Differences: If variations are detected between the new document and existing ones, Hapax highlights these differences. They are presented as comments directly within the affected document, and relevant notifications are sent out.

  • Conflict Identification and Resolution: When a direct conflict is identified with an existing document in the Vault, a note detailing the conflict is made on that document. Hapax will then suggest an edit to resolve the inconsistency. For example, if a regulation changes affecting your credit card policy, Hapax will highlight the impacted sections and suggest updates.

  • Notifications for Editors: All users who have been granted edit access to the conflicted document are notified about the issue and the suggested edit. This collaborative approach helps maintain the accuracy and integrity of your data. For instance, if an internal lending policy is updated, Hapax will check related documents for consistency.

How Hapax Selects a Reference
Hapax does not give preference to one document over another when formulating an answer. If the content related to your query is consistent across multiple documents, the choice of which specific document is cited is not consequential to the accuracy of the answer.

Visibility of Document Information
If Hapax references a document that has a noted conflict or discrepancy, users with edit access to that specific document will be able to see the comments and notes related to the issue. This transparency allows those responsible for document management to be aware of and address any data inconsistencies.
